How to create a Course listing

Course setup

  1. Click on the Learning Objects menu - This can be accessed in either simple view or advanced view, depending on the LMS setup. 
  2. Click on the Courses option, if accessing from advanced view. 
  3. Click New to create the Learning Object / Course.
  4. Below is the list of fields in the Course record. The steps to setup will vary based on the course type selected. 
  5. Field names and description:
    • Learning Object - The course type:
      • Classroom Instruction
      • Online Training
      • Manual Entry
    • Name - This is the name that will be displayed in the course list.
    • Course Number - Client internal number used to identify the course.
    • Description - This can be used to describe the course details. 
    • Grading - Dropdown offering 3 options:
      • Not a graded course
      • Pass / Fail only
      • Student must receive a passing score
    • Passing Score - If the Passing Score option was selected above, enter the score here. 
    • Credit Units / Credit Hours / Credit Others - This is how much credit will be assigned to the course. Visible within the user transcript upon completion and the course roster (e.g. can be entered as .50, .25, 1.0, 1.5, etc.) 
    • Catalog Tree - This field allows the course to be placed within a catalog node. The course can be listed in multiple nodes of the catalog tree.
    • Evaluation - This course may have an associated evaluation/test that is required for users who take the class. Select from the drop-down list of previously created Evaluations. Leave blank if there is no evaluation associated with the course.
    • Reminder- Select from the drop-down menu of previously created Reminders. Leave blank if there is no reminder associated with the course.
    • Paper Certificate - Select from the drop-down menu of previously created Paper Certificates. Leave blank is there is no paper certificate associated with the course.
    • Pre-Enrollment Text - The verbiage entered here will display at the top of the course instance details screen. Users can see the verbiage after they select the Details - Enroll (Self) button when searching for a course. 
    • List Price - Enter a price ($ value) for the course, if chargeable to the attendee. 
    • Version - Version number to identify the course.
    • Web Conference - Check this box, if this is a Web Conference or Virtual class. Select the web conference provider from the drop-down list.
    • Allow ROMS - This box should be checked it there is a requirement for ‘management by objectives’ to be assigned to the course.
    • Dependents - This is a read-only box that will display any assignments and certifications associated with the course. 
    • Training Vendor - Identifies whether the course is provided by Training Vendors or Training Facilities.
    • Vendor Code - If applicable, the system displays a list of all the current Vendors.
    • Duration - Enter the length of the course. 
    • Only for Certification - Check this box if the course is only available in a Certification and should not be searchable as a single course. 
    • WBT type – Select from a dropdown of web-based training compliances. Choices include: AICC, NoTrackingURLOnly, TestOnly, SingleSCORM, MultiSCORM, Pyxis. Certain vendors use different types. Confirm with the vendor of this particular WBT (web-based training) as to which standard has been used for the course. If the learning object is WBT and of SCORM type – then assign the uploaded SCORM course.
    • WBT URL - If this course is a link to an external course, enter the URL link to the course. This is usually a non-trackable event, like a PDF, youtube.com video, or google document. 
    • SCORM course - Select from the drop-down menu – of previously uploaded courses. 
      • Reset SCORM Calls - This requires a separate service, which if active will delete all user specific, SCORM session information from the course overnight. This option is used when updating SCORM content and want to clear out session information associated with the previous version. 
      • Store Completed SCORM Calls - If checked, all the SCORM completion calls are stored for reporting purposes. 
    • Launch in a New Window - Check this box to open the SCORM video in a separate browser window. This is a recommended field for SCORM and AICC courses.
    • New Window Launch Text - This allows for the customization of the launch window for online courses. 
    • Acknowledgement Text - Enter the verbiage to display for the user to attest to viewing a document or video. 
    • Technology - Courses can be categorized into technology types – check the applicable boxes.
    • Sponsors - A sponsor is someone that is sponsoring the course. Check the applicable box.
    • CE Broker Publishing # - If the course requires that the completion information be sent back to the CE Broker, this is the Publishing number that is required
    • CE Broker Reporting # - If the course requires that the completion information be sent back to the CE Broker, this is the Reporting number that is required
    • CE Broker License - If the course requires that the completion information be sent back to the CE Broker, this is the License number that is required.
    • Category - Select from the drop-down list. This can be used from within the search filter by the user in simple view.
    • Tasks - These are tasks assigned at the GLOBAL level for this course. Check the applicable boxes.
    • Type - Courses can be categorized into types – check the applicable boxes.
    • Topics - Courses can be categorized by topics – and used for reporting and searching purposes.
    • Outline - HTML Course outlines can be created using the built in WYSIWYG editor. The editor works very similarly to Microsoft Word and PowerPoint
    • Test - A course can be linked to an assessment. Some courses have built in assessments within the course packages (SCORM). This can be used for courses that have a required separate assessment/test after the course, to get credit. Click the Add Button to add an assessment. To remove a test, click the Remove button.
    • PreTest - This can be used to attach a separate assessment/test required before the course. Click the Add Button to add an assessment. To remove a test, click the Remove button.
    • Same As (selector) - This feature is to create a cross reference table of courses that have the same content but have different names.
    • Availability - This is applicable for clients using the LMS multi-tenant only. It is used to identify which clients can view / search for the course.  
    • Ownership - Used to identify the user that owns or who set up the course. This becomes a searchable learning object field for locating courses. Some client may have this configured as a required field. 
  6. After all the entries have been entered and selected, click the Save button.
